Getting started
How do I install Minutiva Private?
Email support@sodulcelabs.com for a private download link. You’ll receive a notarized .dmg file. Open it, drag MinutivaPrivate.app into your /Applications folder, eject the disk image, and launch from /Applications. Once installed, the app updates itself in place — no more manual downloads.
What permissions does it ask for?
On your first recording, macOS requests two permissions: Microphone (to record your voice) and Audio Capture (to record audio playing on your Mac — Zoom, Meet, Teams, or any app). Click Allow on both. Both streams are processed locally and never transmitted to SoDulce Labs.
What if I deny Audio Capture permission?
The app still works in mic-only mode — you’ll record your side of the meeting. To enable the other side later, open System Settings → Privacy & Security → Audio Capture and turn Minutiva Private on.
How do updates work?
The app checks for updates daily and prompts you when one is available. You can also check manually anytime via Minutiva Private → Check for Updates… in the menu bar. Beta updates and stable releases use separate channels; toggle in Settings → Advanced.
AI summaries
How do I get AI summaries?
Settings → Providers → Add a provider. You can choose: a local provider (Ollama or LM Studio running on your Mac, free, fully private) or a cloud provider (OpenAI, Anthropic, OpenRouter, requires their API key, transcript text leaves your Mac).
Can I skip AI summaries entirely?
Yes. The app works fine without any AI provider configured. You still get the transcript — just no auto-summary.
Which provider should I pick?
For maximum privacy: Ollama with Llama 3.1 8B or larger. For best quality summaries: OpenAI’s GPT-4 or Anthropic’s Claude. For a free middle ground: OpenRouter offers free-tier models.
Recording legality
Is it legal to record my meetings?
It depends on your jurisdiction. Many places require informed consent from one or all parties. You are responsible for following the law in your location. When in doubt, tell meeting participants you’re recording and get their consent.
Where is my data?
Where are my meetings stored?
All meetings live at ~/Library/Application Support/MinutivaPrivate/Meetings/. Each meeting is its own folder with the audio files, transcript, and summary. Browse with Finder anytime.
Can I back them up?
Yes — just copy that folder. Time Machine backs them up automatically.
How do I delete everything?
Delete the meeting via the right-click menu in the app, or delete the meeting’s folder in Finder. Uninstalling the app does NOT delete your meetings — that’s intentional, so you don’t lose data accidentally.
Troubleshooting
Transcription is empty or wrong.
Verify the microphone permission is granted (System Settings → Privacy & Security → Microphone). Try a different audio input device in the gear menu. Check that your mic isn’t muted at the OS level.
Summarize button says “Set up AI provider”.
You haven’t configured an AI provider yet. Open Settings → Providers and add one.
Summarize fails with a timeout error.
If you’re using a local LLM provider on a slow Mac, long meetings may exceed the 5-minute timeout. Try a smaller model, or switch to a cloud provider.
