Privacy Policy

Minutiva Private for Mac and Minutiva Go for iPhone and iPad, by SoDulce Labs LLC — Effective: September 28, 2026

This policy covers both apps. They share the same engine and the same rule: your recordings stay on the device that made them. Where the two differ — how they are distributed, where files live, how they update — the difference is stated explicitly below.

Summary

You decide what leaves your device. Minutiva has no backend — there is no SoDulce Labs server collecting, storing, or processing your data. All recording, transcription, and speaker separation happen on your Mac or your iPhone. Cloud features (AI summarization, syncing a meeting to your other devices) only activate when you connect your accounts with your credentials, and the data flows from your device to your chosen provider — never through us. This document explains exactly what stays on your device and what can leave under your control.

What stays on your device

  • Meeting audio (microphone, plus system audio on the Mac, captured locally)
  • Transcripts (generated by WhisperKit running locally on your Mac or iPhone)
  • Voice recognition data used to tell speakers apart, and the names you give them
  • AI summaries (when you have not configured a cloud AI provider)
  • All meeting metadata: titles, tags, dates, durations, language
  • Your preferences and settings

On the Mac these files live under ~/Library/Application Support/. On iPhone and iPad they live inside the app’s own container, which means deleting Minutiva Go also deletes the recordings and transcripts it holds. In both cases they never leave unless you explicitly export or sync them.

What can leave your device — only when you configure it

  • Transcripts sent to a configured AI provider for summarization. If you set up an OpenAI, Anthropic, OpenRouter, or other cloud AI provider in Settings, Minutiva sends your meeting transcript text to that provider so they can return a summary. The provider is selected by you and governed by their own privacy policy. There is no default provider and no key of ours — until you enter one, this feature does nothing.
  • API keys to those providers. Stored on your device in the Keychain (encrypted by the operating system at rest). Transmitted only to the provider’s API endpoint when summarizing.
  • Meetings you choose to sync to your own devices. If you turn on syncing, Minutiva stores the meeting in your private iCloud database using your own Apple Account, so it can appear on your other Mac or your iPhone. This is Apple’s infrastructure under your account, not ours — we cannot read it and have no access to your iCloud. Audio never syncs; only the transcript, the meeting details, and the speaker names travel. The recording itself stays on the device that made it.

What we never collect

  • Audio files
  • Raw transcripts (unless you separately configure a cloud AI provider for summarization — see above)
  • Identifying information (we have no accounts and require no sign-in)
  • Crash reports (we use no third-party crash reporters in the app)
  • Usage analytics (we embed no third-party analytics in the app)

The structural reason: there is no SoDulce Labs backend server. Minutiva Private for Mac is distributed as a notarized Developer ID build, downloaded directly from this website or via Sparkle auto-update and signed with an EdDSA key so you can verify it’s us; Minutiva Go is distributed through the App Store. Neither app has accounts, and there is nothing for us to plug analytics or crash reporting into, even if we wanted to.

Apple provides us with the aggregate sales and crash statistics it gives every developer for App Store apps. We never receive your recordings, your transcripts, or anything identifying you personally from that.

The marketing website (sodulcelabs.com)

The above “what we never collect” list is about the Minutiva apps. The marketing site you’re reading right now is separate and does use two third-party tools:

  • Cloudflare Web Analytics — aggregated, cookie-free traffic stats (page views, referrers, country). No individual visitors are identified.
  • Meta Pixel — so we can measure whether ads on Meta platforms (Facebook, Instagram) drive visits and beta downloads. Fires only on these marketing pages.

Neither runs inside either app. Once installed, the apps talk only to the endpoints listed under “Network traffic, full audit” below — no Cloudflare beacon, no Meta Pixel, no marketing-site telemetry of any kind.

Updates

Minutiva Private for Mac checks sodulcelabs.com/minutiva-private/{beta,stable}/appcast.xml once per day for new versions. This is a static XML file on our web host — we see only standard web-server logs (your IP address, the requested file, the timestamp), retained for the standard duration our web host (Bluehost) keeps logs, and never correlated with any account or identity (because we don’t have any). The check is the only outbound traffic the Mac app generates without you configuring a feature.

Minutiva Go does not check for updates at all — the App Store handles that, and the app makes no such request.

Network traffic, full audit

If you sniff either app’s outbound traffic (which any technical user can do), you will see only:

  • Sparkle update check (above) — Mac only, once per day, static XML
  • WhisperKit model download from Hugging Face, only on first model setup
  • Your configured AI provider’s API endpoint, only when summarizing a meeting
  • Apple’s iCloud, using your own Apple Account, only if you turn on syncing

No traffic to any SoDulce Labs telemetry, analytics, or data-collection endpoint — because no such endpoints exist.

Local files

On the Mac, meetings are stored at ~/Library/Application Support/Meetings/. You can browse, copy, or delete these files directly using Finder. Uninstalling the app via Finder leaves these files in place; remove them manually if desired.

On iPhone and iPad, meetings live inside the app’s container, where iOS keeps them private to the app. You can export any transcript from within the app, and both the Storage screen and deleting a meeting remove the audio for good. Deleting Minutiva Go deletes everything it holds, so export anything you want to keep first.

Microphone and permissions

Both apps ask for microphone access, because recording is what they do. The Mac app additionally asks for screen-recording permission, which is how macOS grants access to system audio so calls can be captured. Permission is requested when you first record and can be revoked at any time in system settings. Audio captured under these permissions is written to your device and nowhere else.

Children’s Privacy

Minutiva is not directed at children under 13. We do not collect data from any user, including children.

Security & Your Backups

Your recordings and transcripts stay on your device; we hold no copy and are not a backup service. No method of electronic storage or transmission is completely secure, and you are responsible for the security of your device and for keeping your own backups of any recordings or transcripts you value. We cannot recover data that is lost, corrupted, or deleted, and we cannot guarantee absolute security.

Terms of Use

Your use of Minutiva Private and Minutiva Go is also governed by our Terms of Use, which include important information about recording consent, transcript accuracy, your backups, and limitations of our liability.

Changes to this policy

If we ever change what data Minutiva collects or transmits, we will update this document and notify users in the app before the change takes effect.
